We adhere to applicable data protection laws in India, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023, to ensure that your information is handled legally and responsibly.

1. Information We Collect

We collect several types of information to serve you better:

  • Personal Information you provide: When you create an account, place an order, or contact us, you may provide personal details such as your name, shipping/billing address, phone number, email address, and payment information. We only collect what is necessary for the specific purpose (e.g., processing your order or responding to a query).
  • Financial Information: We do not store your sensitive payment details like credit/debit card numbers or banking credentials on our servers. Payments on Alvencia™ are handled securely by trusted third-party payment gateways. (For example, if you pay by card or UPI, those transactions are processed by payment processors complying with PCI-DSS standards, and we only receive confirmation of payment.)
  • Automatically collected information: When you use our website, certain data gets collected automatically:
    • Usage Data: This includes your IP address, browser type and version, device identifiers, the pages you visit on our site, the time and date of your visit, time spent on those pages, and other diagnostic data.
    • Cookies and similar technologies: We use cookies, pixels, and tags to collect information about your interactions. For instance, cookies help remember your preferences (like items in your cart or your login status) and provide a more personalized experience. Section 3 below provides more detail on our use of cookies and tracking.
  • Third-Party Data: If you choose to log in via social media (if we offer such an option in the future) or interact with us on social platforms, we might receive basic profile information from that third-party (as per their privacy policies and your settings). Also, if you participate in a contest or survey, we may receive information through those channels with your consent.
  • Communications: Any correspondence you send us (emails, chats, calls to customer support) may be logged and recorded for quality and training purposes. This can include call recordings or chat transcripts, which we protect just like other personal data.

We ensure that any sensitive personal information (such as passwords, financial info) is collected only over secure channels. You have the option not to provide certain information, but then you might not be able to use some of our services (for example, we need a shipping address to deliver products).

2. How We Use Your Information

3. Cookies and Tracking Technologies

Like most websites, Alvencia™ uses cookies and similar tracking technologies to enhance your experience and analyze how our site is used. Here's what we employ and why:

  • Essential Cookies: These are necessary for the website to function. For example, they keep you logged in during your visit, remember items in your shopping cart, and enable core site features. You can disable cookies via your browser, but note that some parts of our site may not work properly if you do.
  • Analytics (Google Analytics 4): We use Google Analytics 4 (GA4) to collect information about website traffic and user behavior. GA4 uses cookies and other identifiers to help us understand things like which pages are most visited, how users move through the site, and where they come from (e.g., a Google search or a social media link). This data is aggregated and anonymized – we look at trends, not individual user behavior. Google Analytics may collect your IP address (which provides general location info), but we do not allow it to collect personally identifiable information like your name or email. The insights from GA4 help us improve site functionality and content. (If you wish, Google provides an opt-out browser add-on for Google Analytics, which you can install to prevent GA from collecting your data on any website.)
  • Advertising & Conversion Tracking: We utilize certain third-party tools to help us with our marketing and to understand the effectiveness of our ads:
    • Facebook Pixel (Meta Pixel): This is a piece of code from Facebook that helps us measure the results of our advertising on Facebook and Instagram. It tells us if you visited our site or took specific actions (like adding to cart or purchasing) after seeing our ad. This helps us optimize our ads and show you more relevant content. The Pixel may collect information such as your Facebook User ID (if you're logged into Facebook), your IP, and other device info. This data is used in accordance with Facebook's data policy. We do not see your personal Facebook data; rather, we see aggregated reports (for example, "50 people who saw this ad ended up purchasing"). If you prefer to limit this, you can adjust your ad preferences on Facebook or use browser settings to block third-party cookies.
    • Google Ads & Conversion Tracking: We participate in Google Ads (formerly Google AdWords) which means you may see Alvencia™ ads on Google search results or other websites. Google Ads conversion tracking helps us know if someone clicked one of our ads and then did something like bought a product on our site. It uses cookies to track this conversion event. Again, we don't get personal details of who you are from this – just that someone (an anonymous identifier) clicked ad X and then purchased product Y. This info lets us measure ad effectiveness and manage our advertising spend wisely. You can manage your preferences for Google ads via Google's Ad Settings, and even opt out of personalized advertising via Google if you wish.
  • Other Third-Party Tools: From time to time, we might use other tools or plugins (for example, a chatbot widget or an email newsletter service) that also utilize cookies or tracking pixels. We will update this policy if any such tool collects personal data not already covered here. Rest assured, any partner we work with is vetted for strong privacy practices.

Your choices: On your first visit to Alvencia™.com, you may see a cookies notification banner (if required by applicable law) – you can choose to accept or manage your cookie preferences there. Even if not, you can control cookies through your browser settings. Most browsers allow you to block or delete cookies; however, be aware that disabling cookies might affect site functionality. As for tracking pixels like Facebook Pixel or Google Ads, these operate through cookies as well. Browser extensions or privacy modes can also help manage these.

Examples include courier/logistics partners (to deliver your orders), payment gateways and payment processors (to securely handle transactions), email/SMS service providers (to send order confirmations and updates), and IT service providers (for hosting our website or providing additional functionality). These parties only receive the information necessary to perform their specific services. For instance, a courier will get your name, address, and phone number to deliver your package; they will not get any of your financial information. All our service providers are contractually obligated to protect your data and use it solely for the task we hire them for.
  • Analytics and Advertising Partners: As mentioned in Section 3, platforms like Google and Facebook will process certain data when we use their analytics and advertising services. This sharing is limited to what's needed to fulfill those functions and often is pseudonymized/aggregated. We don't directly hand over your personal contact information to these platforms for advertising – instead, the tools themselves collect data via cookies.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to a valid request by a government or law enforcement agency. For example, to comply with a court order, or to respond to a lawful subpoena, or to meet national security or law enforcement requirements. We will always assess such requests carefully and only provide what is legally mandated.
  • Protection of Rights: If we believe an investigation is necessary, we may share information to enforce our Terms of Service or other agreements, or to investigate potential violations (such as fraud, security breaches, or misuse of our site). Similarly, if someone's actions threaten the rights, property, or safety of Alvencia™, our customers, or the public, we may share information with authorities or relevant parties to prevent harm.
  • Business Transfers: In the unlikely event that Alvencia™ undergoes a business transition such as a merger, acquisition by another company, reorganization, or sale of all or a portion of our assets, user information (which could include your personal data) is typically one of the assets transferred. We want to reassure you that any successor entity will be bound by the same commitments we make in this Privacy Policy. If such a transfer happens, we will notify our users (for example, via email or a prominent notice on our site) of any change in ownership or use of personal information, as well as any choices you may have regarding your information.

For instance, if a service provider is located outside India, we ensure data protection measures are equivalent to those under Indian law (like standard contractual clauses or certification under frameworks that ensure data security).

Your security is extremely important to us. We implement a variety of technical and organizational measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. Some of the safeguards we use include:

  • Secure Payment Processing: As noted, we use PCI-DSS compliant payment gateways. When you enter sensitive payment info, it is transmitted directly to the payment processor over encrypted connections. We never see or store your full card number or CVV on our servers.
  • Access Controls: Internally, access to personal data is restricted to authorized personnel who need that information to process it. For example, our support team can see your order details to help you, but they cannot see your password or payment details. We train our staff on data privacy and security best practices to ensure your data is handled with care and confidentiality.
  • Secure Infrastructure: Our website hosting and databases employ firewalls, anti-virus and intrusion detection systems to guard against external threats. We keep our software and platforms updated to patch vulnerabilities, and we regularly monitor our systems for any signs of breaches or attacks.
  • Data Minimization: We only keep personal data as long as necessary (see Data Retention below). By not unnecessarily hoarding data, we reduce risk. When data is no longer needed, we dispose of it securely.
  • Third-Party Audits and Certifications: Where applicable, we work with infrastructure providers who have industry-recognized security certifications (like ISO 27001 or SOC 2) and undergo regular security audits. This helps ensure that the environment where your data resides is following high security standards.

While we strive to protect your information, it's important to note that no method of transmission over the internet or method of electronic storage is 100% secure. We thus cannot guarantee absolute security. However, in the unlikely event of a data breach or security incident, we have a response plan in place. We will notify you and the appropriate authorities as required by law, and we will take immediate steps to mitigate any potential harm.

Your responsibility: You also play a role in keeping your data secure. Please use a strong, unique password for your Alvencia™ account and do not share it with anyone. If you believe your account has been compromised (for example, you notice unauthorized activity), contact us immediately so we can assist. Also, remember to log out from shared devices to prevent unauthorized access.

6. Your Rights and Choices

We believe it's important that you stay in control of your personal information. Subject to applicable law, you have the following rights regarding your data:

  • Access and Correction: You have the right to access the personal data we hold about you. This includes the right to request a copy of information like your profile details, order history, etc. If you find that any of this information is inaccurate or incomplete, you also have the right to request correction or updating of your data. For example, if you change your phone number or email, you can update it in your account settings or ask us to help update it.
  • Data Portability: Under the Digital Personal Data Protection Act (DPDP Act) and other laws, you might have the right to request that we provide your data in a commonly used electronic format so it can be transferred to another service provider. We will assist with such requests as far as it is technically feasible and as required by law.
  • Withdrawal of Consent: Where we rely on your consent to process data (such as for marketing emails), you have the right to withdraw that consent at any time. For email newsletters, you can click the "unsubscribe" link at the bottom of any marketing email. For other consents (like cookies or specific programs), you can contact us to adjust or withdraw your consent. Do note, withdrawing consent doesn't affect the legality of processing based on consent before it was withdrawn. And if you withdraw consent for something essential (like processing your order), we might not be able to fulfill our services to you.
  • Deletion (Right to be Forgotten): You can request that we delete your personal information. If you want to close your account and have us remove most of your data from our records, you can contact us with such a request. We will honor deletion requests to the extent required by law. However, please note we may retain certain information for record-keeping purposes, to complete transactions you initiated, or to comply with legal obligations (for example, we might keep invoice records as required by tax laws, or logs as required by IT security mandates). Any data we retain will continue to be handled in accordance with this Privacy Policy.
  • Objection to Processing: In certain situations, you have the right to object to our processing of your data. For instance, if you don't want your data used for direct marketing, let us know and we will stop. If you believe our processing is impacting your rights and freedoms, you can object and we'll review if we have any legal requirements to keep processing; if not, we'll cease the activity.
  • Grievance Redressal: If you have any concerns or grievances regarding how your data is handled, you have the right to reach out and have your issues addressed. We take complaints very seriously and will respond in a timely manner (see Section 8 on how to contact us or our Grievance Officer). If you're not satisfied with our response, under Indian law you may also lodge a complaint with the Data Protection Board of India or relevant supervisory authority.

How to Exercise Your Rights: Most of your basic info can be reviewed or edited by logging into your Alvencia™ account and visiting the profile/account section. For any rights that require our assistance – such as obtaining a data export, full deletion, or any objection – you can email us at support@alvencia.com with your request. For security, we may need to verify your identity (to ensure that it's really you making the request). Verification might be through answering a security question, or providing information that only the account owner would know. We will respond to your request as soon as possible, and at most within the timeline required by law (typically within 30 days for most requests).

Please note, in certain cases, we may refuse requests that are frivolous, extremely impractical, or not required by law – but we will always explain the reasoning. We will also inform you if we need more time to fulfill a complex request.

7. Data Retention

We will retain your personal information only for as long as necessary to fulfill the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements.

  • User accounts: If you have an account with us, we retain your basic profile information and order history for as long as your account is active. If you decide to delete your account (or request us to do so), we will remove or anonymize personal data associated with your account, except for data we are required or permitted to retain by law.
  • Orders and transactions: Records of your purchases, invoices, and payments are retained as long as necessary for audit/tax purposes and to handle any disputes or refunds. Typically, financial transaction records might be kept for a number of years as required by tax laws (for example, 7 years is a common requirement for financial record keeping).
  • Customer support interactions: Communications you have with us (emails, chat logs, call recordings) are kept for a reasonable period to allow us to effectively manage our customer service (for example, if you contacted us about an issue, and a related issue comes up later, the history helps us resolve it better). We also might retain these to train our team or to defend against any legal claims.
  • Analytics data: Data collected via Google Analytics, Facebook Pixel, and similar tools may be stored by those providers for their standard retention periods (Google Analytics allows us to choose retention for user-level data; we typically set this to 14 or 26 months, after which it gets deleted automatically from Analytics). We only keep aggregated reports beyond that, which do not identify individuals.
  • Marketing data: If you've consented to receive marketing, we retain the information needed to continue sending you communications until you opt-out. Once you opt-out, we may keep a record of your contact details on a "suppression list" so that we know not to send you marketing messages in the future.

When we no longer have a legitimate need or legal obligation to keep your personal information, we will securely destroy it or irreversibly anonymize it so that you cannot be identified. For example, we may aggregate data into statistical information that no longer references individuals, which we can use for business insights without identifying you.

8. Children's Privacy

Alvencia™'s website and services are not directed to children under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age. If you are under 18, please use our website only with the involvement and consent of a parent or guardian.

If we become aware that we have inadvertently collected personal data from a minor under 18, we will take steps to delete that information promptly. Parents or guardians: if you suspect your child under 18 has provided personal information to us, please contact us immediately at support@alvencia.com so we can investigate and address the issue.

Furthermore, we do not engage in targeted advertising or profiling directed at individuals known to be under 18, in compliance with the Digital Personal Data Protection Act, 2023, which provides special protections for children's data. We encourage parents and guardians to educate their children about safeguarding their personal information online.

Our website may contain links to third-party websites or services that are not operated by Alvencia™ (for example, a blog post might reference a scientific study on another site, or we might link to our social media pages). Please be aware that this Privacy Policy applies only to personal information collected by Alvencia™. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

If you click on a third-party link, we strongly advise you to review the Privacy Policy of that site. Nonetheless, we aim to only partner with or refer to reputable sites. If you find any external link on our site that you feel is inappropriate or unsafe, let us know and we will look into it.

10. Updates to this Privacy Policy

We may update or change our Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons. When we make changes, we will revise the "Last Updated" date at the top of this Policy. If there are material changes (i.e., changes that significantly affect your rights or how we handle your information), we will take additional steps to inform you – for example, by prominently posting a notice of such changes on our website homepage or by directly sending you a notification via email (if you have provided one).
